1. Who contacted you

BidSquirrel is a service operated by Orcana Ltd, a company registered in England & Wales (company no. 17263330), whose registered office is Beverley Road, Hull, HU6 7JN, United Kingdom. Orcana Ltd is the data controller for the information described below.

We are registered with the UK Information Commissioner's Office (ICO), registration no. ZC171438.

2. Why you're hearing from us

BidSquirrel helps UK businesses find public-sector contracts. We identified your organisation because a UK government award notice, published under the Open Government Licence, named it as the winning supplier on a public-sector contract. We thought you might be interested in similar live opportunities.

We only email a business at a role-based address (like info@ or enquiries@) or its registered office, and only where our records show it as a limited company or public body verified against Companies House - never a named individual, sole trader or partnership. If you believe we've made a mistake, please tell us at the address below and we'll stop and check.

3. What data we hold about you, and where it came from

  • Your company name and the award notice we found - from the UK government's public procurement data (Find a Tender and equivalent registers).
  • Company status and registered address - from UK Companies House's public register, used only to confirm your organisation is an active limited company or public body before we contact it.
  • A contact email address - either published in the award notice itself, published on your company website, or (as a last resort) a standard info@-style guess at your company domain. We never use a named individual's email address for this.

We have not scraped or purchased a marketing list, and this address was not obtained from any data broker.

4. Our lawful basis

We rely on legitimate interests (UK GDPR Art. 6(1)(f)) to send this one-off, relevant business communication to your organisation, in line with the exemption for corporate-subscriber marketing under the Privacy and Electronic Communications Regulations (PECR). We do not contact sole traders or individuals under this basis. Every email is reviewed by a person before it is sent, and templated (not personalised by AI) from the public award data described above.

5. How long we keep it

  • If you don't respond and we don't contact you again, we delete this record within 90 days.
  • If we decide not to pursue contacting you, we delete it within 30 days.
  • If we do email you, we keep a record of that for up to 12 months for our own compliance purposes, then delete the contact details from it.
  • If you opt out, we keep a permanent suppression record (just enough to recognise you and never contact you again) - this is not deleted on a timer, so the opt-out itself can't lapse.

6. Your rights

You can ask us to stop contacting you, and to access, correct or delete the information we hold about your organisation, at any time. The quickest way is the unsubscribe link in the email you received - it takes effect immediately and permanently. You can also email privacy@bidsquirrel.co.uk, or write to us at our registered office above. You also have the right to complain to the ICO - ico.org.uk/make-a-complaint.
